Clubs Finance Coordinator, Ooks Life Team (2025-26) – POSITION STARTING IN JULY 2025
What is Ooks Life Team?
Every year, NAITSA hires a team of students to help plan and promote a variety of events and initiatives for their fellow NAIT students. The Ooks Life Team (“OLT” for short) is a team of students who work together to create memorable experiences and a strong campus culture.
Being part of OLT offers the opportunity to learn and grow your skills, all while being fully immersed in campus life – and getting paid for it!
There are different positions on Ooks Life Team ranging from Clubs Events and Clubs Finance, Marketing and Promotions, Engagement, Involvement, Volunteer, and Events. Each position has different responsibilities but everyone works together as a team to contribute to the collective goals and success of Ooks Life Team.

Position Summary
The Campus Clubs Finance Coordinator acts as a main contact for club leaders looking for peer-to-peer support and assistance with their club finance processes. Clubs Finance Coordinators are responsible for fostering a positive relationship between student clubs and the students’ association. Their primary duties include supporting finance activities for campus clubs programming, and contributing to the education and mentorship of student clubs on finance policies and procedures.
Responsibilities
The Campus Clubs Finance Coordinator is integral to providing students with a well-rounded campus life experience focused on clubs administrative support. This role has two key functions:
Club Leader Support:
- Provide peer-to-peer support for club leaders through virtual and/or in-person meet-ups to advise on club financial procedures (i.e., purchase requests, grant proposals, financial transactions, Deposits, such as Kickstart, Eventbrite, and Square etc.).
- Assist in mentoring clubs through Ookslife.ca Club Training Paths for financial processes.
- Attend student-led club events as required. Support by answering club questions and mentor/encourage the use of the Event Check-In App and Square payment processing.
Finance/Administrative Support & Assistance:
- Support finance and administrative processes within the Campus Clubs office (i.e., purchase request submissions, grant processes, financial reporting-post event summaries, club deposits).
- Assist in gathering and compiling data for club reports to support Campus Clubs strategic goals.
- Assist in hosting workshops targeted to club leaders for financial literacy.
- Participate in Clubs department events and initiatives where required; such as Campus Clubs Leadership Flagship events, Club Showcases, Elevation Series.
- Contribute to OLT meetings and projects, as required.
- Assist in coverage where required for the Campus Clubs front desk reception (Clubs Centre is open Monday-Friday, 8AM-4PM).
- Provide support for other sub-committee initiatives or projects (such as discretionary events).
Hours of Work
This is a part-time, temporary position starting July 3, 2025 and ending April 30, 2026. Hours of work are flexible and vary each month, including the following requirements:
One 3-hour in-office is required for this role Monday through Friday from 11AM – 2PM (or subject to class schedule/availability)
Weekly hours (besides in-office hours) will vary due the inconsistent nature of club transactions. Once assigned a task, you will typically have 1-2 days to complete the task, or notify your supervisor of any conflicts.
Qualifications
- Must be a NAIT student enrolled for the entire 2025-2026 academic year.
- Availability during the week (Monday-Friday) to accommodate your work hours and meetings as necessary.
- Excellent time management and organizational skills.
- Financial literacy is an asset.
- Attention to detail and high accuracy when dealing with data.
- Must be able to lift and move up to 25lbs.
- Familiarity with Microsoft Office suite and Google Workspace applications.
- Must have a computer with camera and microphone for virtual meetings, training, and working remotely as needed.
- Successful completion of a Canadian security clearance, covered at NAITSA’s expense.

- Prior knowledge of the Campus Clubs Handbook and/or clubs procedures is an asset.
