The NAIT Students’ Association (NAITSA) is a registered non-profit organization that exists to provide services, representation and leadership to students enrolled in credit and apprenticeship programs in one of Canada’s largest polytechnic institutions, the Northern Alberta Institute of Technology (NAIT).
The Opportunity

We believe that post-secondary experiences go far beyond the classroom, and we aim to offer a variety of opportunities for students to get involved. Volunteerism is a key part of that vision—and through this new role, we’re excited to build a more centralized and rewarding volunteer experience for students.
In addition to leading NAITSA’s volunteer programming, this role will also oversee the New Student Experience and serve as a steward for the Student Involvement Record—two important tools that help students recognize, track, and celebrate their engagement beyond the classroom. From administering these programs and producing impact reports, to ensuring involvement is captured and promoted, this role helps bring visibility and value to the full student experience.
This role balances strategic program development with hands-on coordination to ensure a high-quality, meaningful, and well-documented student journey at NAIT.

You’ve led people or projects, worked with various stakeholders, and know how to create inclusive and engaging experiences. You’re energized by the opportunity to help students connect, grow, and gain recognition for their involvement—whether through volunteering, campus programs, or leadership opportunities.
Responsibilities
As this is a new position, responsibilities may evolve to reflect program development and organizational needs. Flexibility and a willingness to adapt will be a key to success in this role. This position reports to the Campus Life Director, and has the following overall responsibilities:
Research and development of a centralized volunteer resource:
- Conduct research into best practices in campus volunteerism and student engagement.
- Identify and recommend digital tools or platforms to streamline volunteer sign-up, tracking, and communication, considering budget, impact and overall use.
- Collaborate with internal and external stakeholders to consolidate volunteer opportunities across departments into a single, cohesive resource.
- Audit and simplify existing volunteer-related information to improve clarity, access, and visibility for students.
- Lay the groundwork for a more connected and well-rounded volunteer program that supports students throughout their volunteer journey.
Research and development of volunteer opportunities and recognition:
- Work collaboratively with internal and external stakeholders to identify more opportunities for students to volunteer on- and off-campus.
- Develop a comprehensive onboarding process for NAITSA volunteers, and establish processes for volunteer management.
- Coordinate volunteer activities and placements at NAITSA flagship events (i.e., Pancake Breakfast, Nest Fest, etc.)
- Find new ways to increase the number of on- and off-campus volunteer opportunities available to students.
- Identify and implement creative ways to simplify and streamline volunteer recognition.
- Coordinate NAITSA Volunteer Awards at NAITSA’s Awards Night (annually).
- Plan and execute volunteer appreciation events and initiatives.
Volunteer Engagement, Administration & Promotion:
- Review and reimagine the Volunteer Experience Path currently in Ookslife.ca.
- Screen volunteer opportunities submitted by various Nonprofit Organizations to ensure they meet the criteria.
- Be a supportive resource to students who indicate an interest in volunteering and connect them to timely and fitting opportunities; add interested students to the Volunteer Vibe newsletter.
- Engage actively in the student community through digital platforms (i.e., online group chats in the Ooks Life App and utilizing Ookslife.ca ) and campus events to increase visibility and connection to volunteer opportunities.
- Coordinate monthly volunteer events for students at large to participate.
- Support internal departments and campus partners in accurately logging student volunteer hours; approve student submissions of self-reported volunteer hours.
- With support of the Campus Life team, coordinate and execute marketing plans for NAITSA’s volunteer programming.
- Oversee promotional booths, host volunteer fairs, and participate in NAIT’s Service Fairs.
Lead and mentor part-time Volunteer & Involvement student staff:
- In collaboration with the Campus Life team and HR, participate in the group hiring process for Ooks Life Team. Hire and train part-time Volunteer Coordinators (2) and an Involvement Coordinator (1) each academic year.
- Provide supervision, leadership, and mentorship to student staff; provide feedback and conduct performance assessments, review hours, and approve timesheets..
- Support student staff in their projects; including idea generation, planning, and implementation.
- Attend scheduled Ooks Life Team meetings, training sessions, and social functions.
Administration of New Student Experience & Involvement Record:
- Oversee the New Student Experience (NSE) program and lead its year-round planning, implementation, reporting, and improvement, connecting students to meaningful campus experiences through events, signage, check-ins, and rewards.
- Serve as a subject matter expert on both the NSE path and the Student Involvement Record, ensuring student participation is accurately tracked and recognized across platforms.
- Collaborate with internal and external stakeholders to ensure co-curricular activities are properly captured and reflected on student records.
- With support from the Campus Life Marketing Manager, lead communications and promotional efforts to increase awareness and use of the Involvement Record and Milestone badging platform among students and staff.
- Produce reports and track engagement metrics to guide improvements and demonstrate year-over-year progress in student participation.
Support other Campus Life initiatives, as required:
- Participate in regular Campus Life leadership team meetings.
- Support the team at NAITSA flagship events (i.e., Nest Fest, Pancake Breakfast, etc.)
Qualifications / Required Skills / Considerations
If you’re interested in being a part of this team, there are several key skills and attributes you should make sure to review before you apply:
- Education: Post-secondary diploma or degree in a related field (i.e., business administration, education, nonprofit management, or similar). Equivalent work experience will also be considered, but experience participating in a post-secondary environment is a huge asset to working within it.
- Experience: 2+ years’ of relevant experience in volunteer coordination, student engagement, event planning, or a related area.
- Demonstrated leadership experience, including the ability to support and mentor staff and volunteers, and foster an inclusive environment.
- Demonstrated project management experience, including the ability to plan, execute, and evaluate initiatives or events; manage timelines and competing priorities; and coordinate with multiple stakeholders to achieve outcomes.
- Strong understanding of volunteer engagement practices, recognition strategies, and program development.
- Demonstrated ability to build relationships and work collaboratively with diverse internal and external stakeholders.
- Comfortable using or learning digital platforms (i.e., volunteer management software, student engagement software or apps, email marketing tools, etc.)
- Highly proficient in Excel/Google Sheets; you can demonstrate your experience in basic functions (i.e., sort, filter, analyzing data and creating reports).
- Excellent written and verbal communication skills.
- Attention to detail, especially in administrative and reporting tasks.
- Experience using Canva or similar design tools to create engaging visuals, presentations, or reports is considered an asset.
- Passionate about student life and committed to creating meaningful involvement opportunities.
- Self-starter who is comfortable taking initiative and building new systems.
- Creative and adaptable, with a growth mindset and willingness to evolve with the role.
- Employment in this position is conditional upon completion of a Police Information Check.
- Must be legally authorized to work in Canada.
Employment Details
Position Status: Full-Time Temporary, 22-month Term.
Term: This position is expected to commence in early July, with the contract ending May 14, 2027
Working Conditions
- Work Location: NAITSA, Room O108, 11762 106 St NW, Edmonton, AB T5G 3H4. Occasional flexibility for hybrid work.
- Work Hours: Monday to Friday, standard office hours, 37.5 hours/week. Some occasional evenings or weekends may be required to support events and volunteer programming.
- Physical Requirements: Primarily office-based work with occasional requirements for event participation, booth setup, carrying materials to events (up to 40lbs).
What We Offer:
- Salary: $55,000 – $60,000 per year, commensurate with experience
