NAITSA Policies
Poster Boards Advertisement
All posters approval are subject to approval by NAITSA. You must fill in the “Poster Approval Form” for approval, please do not print your posters until you have confirmation. NAITSA reserves the right to approve or deny all posters.
Prior to posting, posters must be approved and stamped by NAITSA located in O-108. NAITSA is not responsible for putting the posters up on the boards after approval.
Posters MAY NOT CONTAIN material that is:
- Defamatory or hateful to an individual or group
- Content inappropriate for public
- Events that are not officially endorsed by NAIT or NAITSA
- Promotion of commercial operation or accommodation listing
- Promotion of food and/or beverages
- Offering employment or recruitment. We encourage you to contact NAIT employer Services (employerservices@nait.ca)
Authority on the suitability of any poster is at the sole discretion of NAITSA. Poster approval may be withheld during the NAITSA election and referendum season. For any inquiries, please fill out our “Poster Approval Form”.
Approved posters may only be applied to bulletin boards that indicate “Approved for Posting by NAITSA” at the top of the board. Do not use heavy-duty staples or other fasteners. Do not place posters on the following surfaces:
- Walls
- Glass
- Doors
- Lockers
- From the ceilings
- Non-NAITSA bulletin boards
Postings on boards may be removed without notice in cases where the boards require maintenance, summer cleaning, or overly damaged posters, at the discretion of NAITSA. Unapproved posters will be removed.
NAITSA Student Clubs
- Requires prior approval from the Campus Clubs Centre, and to be stamped at the Campus Clubs office
- For event posters: Approved for a maximum of one month or the day after the event, whichever is less, a maximum 30 posters
- For evergreen/campaign posters: Approved for a maximum of one semester, a maximum of 15 posters
- Maximum size of 11”x17”, portrait preferred
- Please leave room somewhere on the poster for our NAITSA approval stamp to be visible on your poster
NAIT Postings
- Must have logo or identification to indicate affiliation
- For event posters: Approved for a maximum of one month or the day after the event, whichever is less, a maximum 30 posters
- For evergreen/campaign posters: Approved for a maximum of one semester, a maximum of 15 posters
- Maximum size 11”x17”, portrait preferred
- Posters for campaigns/events of the same or related series are limited to no more than 1 set at any given time
- Please leave room somewhere on the poster for our NAITSA approval stamp to be visible on your poster
Third Party (Not-for-Profit, class projects, organizations, other campuses, etc.)
- Must have official NAIT endorsement information on the poster, either by including the NAIT logo, or by stamping/adding text on the posters regarding the NAIT department endorsing the posting
- Approved for a maximum of one month or the day after the event, whichever is less
- Maximum 15 posters per campaign
- Maximum size of 8.5” x 11”
Unions (Only allowed if the union is a Not-for-Profit Organization)
- Must only be an information Poster, no employment advertising of any kind. If they wish to do employment advertising, they must contact NEWAD directly
- Industry events must have NAIT endorsement information on the poster, including the NAIT logo and by stamping/adding text on the posters regarding the NAIT department endorsing the posting
- Approved for a maximum of one month or the day after the event, whichever is less
- Maximum 15 posters per campaign
- Maximum size of 8.5” x 11”
- Please leave room somewhere on the poster for our NAITSA approval stamp to be visible on your poster
Commercial Customers
No outside third party postings without NAIT or NAITSA endorsement. Advertising is available in the Nugget News, SATV & the NAITSA Student Handbook. Please contact asknaitsa@nait.ca for more details.
NAITSA has the right to update or change this policy as necessary.

Tri-Stands Advertisement
GENERAL POSTING RULES
All Tri-Stand Posters must be approved by NAITSA via email (jenny.lau@nait.ca), approved posters must be dropped off at the NAITSA office located in O-108. NAITSA will be responsible of putting up the posters for you and taking them down.
Postings on Tri-stand boards may be removed without notice in cases where the boards require maintenance, summer cleaning, or overly damaged posters, at the discretion of NAITSA. Unapproved posters will be removed.
Requirements for the posting:
• Approved for a maximum of one school semester (4 months) or the day after the event, whichever is less
• Maximum 6 posters per campaign
• Size must be 22”x28”, portrait
• You must print the posters yourself and deliver it to the NAITSA office
• Only major events and/or initiatives will be considered for the Tri-stands, such as NAIT Open House, Orientation, Career Fair, Health Initiatives, Protective Service Messages, Recreation, etc.
Authority on suitability of any poster is at the discretion of NAITSA. Poster approval may be postponed during the NAITSA Executive Council election season.
Commercial Customers
No outside third party postings without NAIT or NAITSA endorsement. Advertising available in The Nugget, SATV & the NAITSA Student Handbook.

Events
Refunds will only be given for event cancellations up to two business days prior to the event, unless otherwise stated. To inquire about a refund, please contact the event organizer by responding to your event confirmation email.
NO SHOW
Our events are popular! If you are unable to attend an event, please let us know so we can open your spot up to other students. Let the event organizer know you are unable to attend by replying to your event confirmation email. Refunds will only be given to students who inform us of their absenteeism at least two business days prior to the event. Please note: we have a three-strike no show policy. If you register for events and do not show up for them on three different occasions, you will no longer be allowed to sign up for future events.
LATE-COMERS
Many of our events have a waiting list! If you are late for an event, then your spot may be given away to a student who’s ready to attend. Participants who arrive late for events will be treated as a no-show. Similar to our no-show policy, we have a three-strike policy. If you are late OR do not show up to an event on three different occasions, you will not be allowed to participate in future events.

NAIT Students’ Association (“us”, “we”, or “our”) operates the https://www.naitsa.ca website (hereinafter referred to as the “Service”).
This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service and the choices you have associated with that data. Retention of Data
We retain personal data only as long as necessary to fulfill the purposes outlined in this Privacy Policy, including compliance with legal, regulatory, or accounting obligations. Personal data that is no longer required is securely deleted or anonymized to ensure it cannot be associated with an identifiable individual.
Specific retention periods include:
- Transactional Data: Retained for seven years to comply with tax and financial reporting regulations.
- User Accounts: Retained until the account is deleted or becomes inactive for more than three years.
- Usage Data: Retained for up to two years, unless needed for security purposes.
Retention practices are regularly reviewed to ensure compliance with Alberta’s PIPA and other applicable laws.
Data Transfers

We do not knowingly collect data from individuals under 18. Parents may contact us for deletion requests.

We use PCI-DSS-compliant payment processors (e.g., PayPal, Square) to ensure secure transactions. Payment details are handled directly by these third-party providers, and we do not store or process payment card information on our servers.
Refunds and Disputes: All refunds or disputes related to payments should be directed to our support team at asknaitsa@nait.ca. Refund eligibility and processing timelines are subject to our Terms and Conditions and any relevant third-party provider policies.
Security Measures: We work with payment processors that comply with industry standards for secure payments, including encryption and fraud detection systems.
Transaction Records: Transaction records, including receipts, are maintained in compliance with applicable laws and for accounting purposes. Users can request access to these records by contacting us.
Policy Updates
We may revise this policy. Notifications of updates will be provided on our website with the “effective date” noted above.
